Summary:

The Operations Manager, Business Systems and Integration connects leadership with the practice and department teams. Leadership sets the direction; the teams carrying it out shape how the work gets done. This role links these parties, keeping them aligned so that no group works in isolation. 

The role does not tell departments how to run their areas. It owns the handoffs, the shared priorities, and the work that falls between organizational lines. By giving every level a genuine voice and reflecting that input in how the firm moves forward, this role builds trust, ownership, and a culture where continuous improvement is not a project; it is how we operate. 

Reporting directly to the President and Chief Strategy Officer, this is a high-visibility position with a clear path to evolve into an elevated operations role as the function and the individual grow. It is built for a candidate who thinks in both systems and people, who is energized by making a growing business run better, and who wants to grow into an executive role at a firm investing heavily in its future. 

How This Role Operates: 

  • Keeps a clear view of active projects across the organization, their owners, and status 
  • Resolves duplicate and conflicting work directly; escalates only when the situation genuinely requires leadership 
  • Ensures every cross-departmental initiative has the right voices in the room before work begins 
  • Partners with Executive Leadership, Practice Leaders, and Team Leaders as a peer, not as an overseer 
  • Connects leadership’s vision with the ground-level knowledge of the people doing the work so that both inform every decision 
  • Protects leadership bandwidth, surfaces what matters, handles what doesn’t, and keeps the right decisions at the right levels 

Job Responsibilities:

Cross-Practice Project Leadership 

  • Lead execution on operational projects that span multiple practices, departments, and systems 
  • Translate executive priorities into project plans, timelines, deliverables, and measurable outcomes 
  • Drive accountability across functional leaders to ensure projects deliver on time and on scope 
  • Identify operational gaps and bring forward proposals that improve how the firm operates 

Technology and Systems Integration 

  • Serve as the operational owner of the integration layer connecting our core platforms, including Applied Epic (AMS), HubSpot (CRM), and other systems in our tech stack 
  • Partner with vendors and integration partners to evaluate, deploy, and optimize technology solutions 
  • Support the practical rollout of AI tools and support automation initiatives across the firm 
  • Continuously evaluate the technology stack and bring forward recommendations on consolidation, replacement, or new investments 

Executive Team Partnership 

  • Translate executive strategy into operational execution across practices 
  • Provide visibility to the executive team on project status, risks, and trade-offs 
  • Serve as a trusted operator who can be deployed against any cross-functional priority that needs ownership 

Cross-Functional Coordination 

  • Partner closely with the VP of Insurance Operations, who owns quality assurance, SOPs, and audit, ensuring projects and process improvements are aligned 
  • Coordinate with IT on infrastructure, security, and system administration to maintain a clean line between operational technology and IT 
  • Work with Practice Leaders, Team Leaders, and department heads to understand needs, build solutions, and deliver results 

Required Experience:

  • Bachelor's degree or equivalent experience 
  • 5 to 8 years in operations, business systems, project management, or consulting 
  • Insurance brokerage, financial services, or professional services experience strongly preferred, with Applied Epic, HubSpot, or comparable platform experience 
  • Proven track record leading cross-functional projects from concept to delivery, ideally with AI, automation, or systems integration exposure 
  • Strong project management discipline and pragmatic execution 
  • Technology fluency without being a technologist, able to translate between business needs and technical solutions 
  • Sharp analytical, problem-solving, and communication skills, able to simplify complexity and influence senior leaders 
  • Collaborative, comfortable with ambiguity, and able to build relationships at all levels while championing the corporate vision 
  • Bias toward action, with the judgment to know when to pause and align 
  • Able to participate in all methods of travel

Compensation and Benefits:
The approximate annual salary range for this position is $90,000 - $125,000. Please note the range provided is a good faith estimate at the time of the posting. Actual compensation within that range is based on a wide variety of factors unique to each candidate, including but not limited to, individual qualifications, depth of experience, knowledge, skills, applicable certifications, and physical work location(s).
