Summary:

The Sales Administrator is one of the most relied-upon roles in our sales organization. This is the position that keeps a team of 20 producers and a Director of Sales operating at full capacity. You will be the person who makes sure every calendar is managed, every CRM record is accurate, every proposal is ready, and nothing falls through the cracks. You will work directly with clients and prospects on scheduling, coordinate across service and account management teams, and serve as a trusted extension of the producers you support. The scope of this role expands as the team grows, with headcount expected to increase by at least 20 percent each year. For the right person, this is a position with real runway.
 

Job Responsibilities:

  • Manage calendars for a team of 20 producers, coordinating prospect and client meetings via  phone and email with professionalism and efficiency
  • Serve as a reliable point of contact for scheduling with clients, prospects, service teams, and internal stakeholders
  • Audit HubSpot CRM activity following producer accountability meetings and ensure pipeline data accurately reflects what was discussed
  • Maintain overall CRM hygiene so the system functions as a trusted source of truth for the Director of Sales and leadership
  • Prepare pipeline and producer scorecard reports ahead of coaching conversations and leadership reviews
  • Prepare proposal materials and client-facing documents so producers walk into every meeting equipped and ready
  • Coordinate with service and account management teams on behalf of producers to keep cases moving forward without disrupting selling activity
  • Support the Director of Sales in maintaining the day-to-day operating rhythm of the sales organization
  • Any other duties as requested by management

Required Experience:

  • High School Diploma Required, BS preferred or equivalent experience; the right skills, work ethic, and demonstrated follow-through are critical to this role
  • High level proficiency in Microsoft Office programs including Outlook, Word, Excel, and PowerPoint
  • Proficiency in Adobe Acrobat
  • Experience with CRM systems; HubSpot experience is a plus but not required
  • Ability to communicate professionally with clients, prospects, and internal team members both orally and in writing
  • Ability to set priorities and manage workflow accurately across multiple responsibilities and a growing team
  • Ability to work independently and in close coordination with others, shifting between both as the day requires
  • Exceptionally detail-oriented with strong organizational skills and consistent follow-through
  • Responds to requests with urgency and takes ownership of outcomes

Position Type and Expected Work Hours:
This is a full-time position. The associate must work 40.0 hours each week to maintain full-time status. Days and hours of work are Monday through Friday, 8:00am to 5:00 pm, with some flexibility in hours. 

Compensation and Benefits:
This is a non-exempt position and the approximate range for the hourly rate is $20.00 - $23.00 per hour. Please note the range provided is a good faith estimate at the time of the posting. Actual compensation within that range is based on a wide variety of factors unique to each candidate, including but not limited to, individual qualifications, depth of experience, knowledge, skills, applicable certifications, and physical work location(s).
